Data Protection Statement

Who are we ?
We are Toolbox vzw asbl, located at Twaalfapostelenstraat - Rue des Douze Apôtres 3, 1000 Brussels (RPM Brussels, 0859.563.718). We are responsible for data processing as described below. As such, we comply with Belgian and European legislation on the protection of personal data and privacy.

What personal information does ToolBox asbl have?
ToolBox asbl collects only the personal information necessary for the exercise of its activities. We process the following personal data: surname, first name, professional and/or personal address, gender, e-mail address, telephone number, Linked In profile, professional skills and languages in which volunteers can accompany.

How does ToolBox asbl collect your personal data?
ToolBox asbl only collects personal data:
that you communicate to us directly
Or via our intranet
Or via social networks (LinkedIn, Facebook, Twitter). We refer here to the Social Media Privacy Policy where you can manage your own settings and determine what is visible to third parties

When and for what reasons does ToolBox asbl use your personal data?
ToolBox asbl processes this data for the execution of its activities and only:
If you have authorized it (publication of your surname, first name, photo and LinkedIn profile on our intranet and in our annual report)
Or, if the processing is necessary for the sharing of knowledge within the community of members, such as for example the sharing of contact data (name, telephone number, email address, ...) and data profile/experience (such as linguistic knowledge, areas of competence, etc.).
Or, if the processing is necessary for administrative processing (contributions) or to invite you to ToolBox Hub events
Or, if we are legally obliged to process data (for example in the context of a tax certificate)

ToolBox asbl measures the level of satisfaction of its members by a method called Net Promoter Score. This information is never processed individually – it is used in an aggregated way to improve internal functioning.

How does ToolBox asbl use your personal data?
Only authorized persons within ToolBox asbl have access to your personal data. We use other organizations to assist us in the management and security of personal data. They can use this information only within the framework of ToolBox asbl and are also required to protect your personal data. They undertake to keep your data confidential and to destroy them after use. This is contractually agreed with them. Under no circumstances will ToolBox asbl sell your information or make it available to other organizations or companies.

How does it work when ToolBox collaborates with a third party?
When we transfer your personal data to a third party, we limit that third party's access to the data they need to fulfill their order. Furthermore, we enter into the necessary agreements with these parties (the controllers of your data) regarding the protection of your personal data. These agreements are set out in the terms and conditions or in a subcontract which determines precisely what the other party can do with your data.

How long does ToolBox asbl keep your personal data?
ToolBox asbl keeps your data in order to preserve the history of the projects carried out by the associations. Provided there is no legal obligation for us to keep your data longer, we delete all personal data of persons who have been inactive for 5 years from our database.

Does ToolBox asbl keep your data safe?
Toolbox vzw has also taken appropriate organizational and technical measures to prevent unauthorized access and use of your personal data.

What are your privacy rights and how can you exercise them?
Make sure your data is up to date by notifying us of any changes. To do this, you can contact a ToolBox coordinator or via [email protected]
You always have the right to consult and correct your personal data kept by ToolBox asbl
You can ask us to delete:
All your personal data from our database, but this means that you will no longer be able to remain active as a volunteer.
Your personal information shared within the community, but it also means that you will no longer receive invitations to the various events offered, that you will no longer be able to contact other ToolBoxers and that you will no longer be able to be part of the ToolBox community.
